Position Summary:

The Senior Administrator is responsible for the day-to-day general office operations of a RT office.

Essential Functions:

  • Manage and coordinate all day-to-day office operations
  • May supervise, manage, and direct the work of Administrative Assistants and/or Receptionist(s); includes time keeping, time card approval, hiring/recruiting/interviewing to fill vacancies, addressing work performance, involvement in terminations as needed, and other managerial duties as necessary
  • Act as a resource for the office on company policies and procedures, educating employees on policies and helping them to achieve alignment with policies
  • Work directly with the Office President to handle/coordinate any assignment/projects for the office(s)
  • Responsible for office security access system, maintaining security cards and keys to access office for all employees, specifically new or terminated employees, and overall providing for the safety and security of the employees and the property.
  • Update Equipment Inventory spreadsheet, make sure there are 2 sets of spare IT equipment on-site and work with IT to order replacements
  • May manage and assign parking spaces
  • Analyze monthly AP Audit and complete worksheet for exceptions for office(s) to ensure alignment with office budgets and company guidelines
  • Coordinate and schedule office events/parties, including, facilitate set-up/clean-up catering orders for in house meetings, and staff events
  • Coordinate, track, and assist with employee desk/office moves, relocations, expansion and reorganizations
  • Complete monthly expense reports for the Office President(s) in the Concur system, and for others as assigned
  • Maintain floor plan(s) and seating chart(s), updating in real time when there are changes
  • Review and approve all office supply orders, including ordering business cards for employees
  • Complete onboarding/off-boarding steps for new hires, including Manager Pre-Onboarding New Hire and Termination Checklists, including completion of I-9’s for new hires
  • Ensure that all documents and document history are saved in the appropriate office folder on the Z: drive
  • Other duties as assigned by office leadership or others within reporting relationship
     

Education/Experience/Skills:

  • Bachelor’s degree or equivalent experience.
  • 5+ years’ experience in an office administration role
  • Time management skills and ability to coordinate multiple teams and events. 
  • Advanced knowledge of and practical application/experience with MS Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Excellent writing, editing and grammatical skills
  • Superior interpersonal skills
  • Organization Skills: Extremely organized and very detail-oriented; self-motivated and capable of working independently on multiple projects
  • Proven track record of successfully managing upwards
  • Knowledge of insurance industry is advantageous
