Position Summary:

This position is the heart of our Headquarters/Corporate office. We are seeking someone who will be the first point of contact for guests by greeting visitors, answering/directing incoming calls, distributing mail, creating flow of correspondence, requesting supplies, and handling clerical duties as needed. 

Essential Functions:

  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately 
  • Answer and forward incoming calls / faxes
  • Open and distribute/scan mail to appropriate people/departments
  • Prepare and send outgoing mail/fedex
  • Order office, stamp, kitchen, coffee supplies
  • Keep supply areas stocked and tidy
  • Maintain coffee machines
  • Stock kitchens
  • Load /empty dishwashers
  • Schedule messenger service as needed
  • Deposit checks online
  • FedEx insurance checks to lockboxes
  • Coordinate monthly maintenance checks for AED machines
  • Coordinate monthly Iron Mountain collection
  • Order employee business cards from RSG Print Store
  • Help with ordering food for meetings
  • Help with conference room reservations
  • Maintain Cohesion and Vector employee badge systems for new hires/terminations
  • Enter/remove employee access in Tango and help troubleshoot Tango
  • Enter visitors and service requests in Cohesion

Education/Experience/Skills:

  • 3 years’ experience in a similar role within a professional corporate environment.
  • High School Diploma required; BA/BS degree desirable.
  • Excellent verbal and written communication skills. Proactively establishes relationships and routines to convey critical business information.
  • Excellent organizational and multi-tasking capabilities.
  • Critical attention to details.
  • Initiative - possesses the motivation and willingness to go beyond what is required. Feels a sense of ownership for their area of responsibility.
  • Ability to work independently on assigned tasks as well as accept direction as required.
  • Ability to work collectively with the administrative team associates.
  • Proficiency in Microsoft Office including, but not limited to Outlook, Word, Excel.
  • Proven track record of being a team player.
