Mailroom Supervisor

Position Summary:

Individual will be responsible for overseeing and facilitating all mailroom staff and procedures including: proper distribution of incoming mail and packages, quality control and preparation of outgoing mail/packages, and maintaining supply levels related to kitchens and printers.

Essential Functions:

  • Supervises and coordinates overall administrative activities for the Mailroom Department.
  • Supervises Mailroom/Operations staff of non-exempt employees. 
  • Train new employees on job duties and cross training of current staff. 
  • Ensure that staff is meeting or exceeding individual service levels, as well as work with the team to meet or exceed department service levels
  • Assist staff with workflow process management by assigning weekly tasks.
  • Track and evaluate workflow production for each employee against Annual Goals and existing SLA’s.
  • Participates as needed in special department projects. 
  • Review and maintain documentation for all tasks.
  • Produce reports as needed
  • Follow-up on missing information in a timely manner
  • Perform quality checks on work. 
  • Assist members of work unit with questions and problems
  • Establishes relationships and is liaison for all outgoing mail carriers and vendors. 
  • Ensure multiple work boxes are worked & managed each day
  • Mail all policies and documentation according to predetermined procedures
  • Manage and review existing vendor accounts
  • Oversee inventory levels in Mailroom, kitchens and conference rooms.
  • Additional duties and responsibilities as assigned. 

Education/Experience/Skills:

  • Requires High School Diploma or GED equivalent.  Prefer college degree or 4 years of related experience and/or equivalent combination of experience and education.  
  • Minimum of 1+ years in supervisory role required.
  • Knowledge of Commercial insurance, P&C and Transportation Policies is a plus.
  • Strong organizational skills, oral and written communication skills are required.
  • Must demonstrate teamwork and the ability to develop productive relationships with peers and management.
  • Must be able to solve problems and deal with a variety of tasks in a fast-paced environment.
  • Proficient in MS Word and MS Excel.
  • Working knowledge of mail processes such as postage machine, USPS, Federal Express and UPS.
  • Pursue technical development in order to maintain or enhance knowledge, skills, and abilities required to perform this job.
  • Ability to motivate staff while being an advocate of Team/Department/Company initiatives. 
  • Ability to lift 15-20 lbs.
  • Ability to pass the Introduction to Risk Management and Insurance exam within nine (9) months of your hire date
