RT Specialty, a division of Ryan Specialty Group is looking for an Administrative Assistant to join our Burbank, CA team. We are a fast paced, energetic and rapidly growing organization that offers a great opportunity for someone interested in further developing their career.

Position Summary:

The ideal candidate will possess a high school degree with 1-3 years of administrative support experience, insurance industry environment preferred. Solid customer service experience required. 

Essential Functions:

•   Schedule guests for entry through property management guest portal
•   Greet and direct visitors to the company
•   Request work orders on the property management system (lighting, HVAC, plumbing, etc.) 
•   Process expense reports through the Concur Expense Management System
•   Schedule and maintain conference room calendars
•   Receive, sort and forward incoming mail. Maintain and route publications.
•   Coordinate the pick-up and delivery of express mail services (FedEx, UPS, Messenger, etc.)
•   Order, receive, stock and distribute office supplies
•   Act as liaison to IT for equipment set-up and trouble shooting
•   May also assist with other related clerical duties, typing of memos, photocopying, faxing, filing, or collating.
•   Other relevant duties as assigned.

Education/Experience/Skills:

•    High school degree preferred.
•    1-3 years of office experience in an administrative role preferred.
•    Additional training or coursework in office administration, office software and office machines desirable.
•    Must be able to understand and follow directions.
•    Must be able to interact well with all employee levels as well as internal and external clients.
•    Must be able to convey a positive and professional image of the office and organization.
•    Basic knowledge and skill level required in use of Microsoft Word, Outlook, Microsoft Excel and PowerPoint.
•    Must be able to work well independently and in a team environment.
•    Must be able to set and re-establish priorities in workflow as business needs change.
•    Must be organized and able to multi-task given assignments, seeing each to resolution.
•    Acts with a sense of urgency.
•    Demonstrates a commitment to outstanding client service.
